Booking Policies and Payment Terms

To secure your adventure with Yukon Desert Expeditions, a 30% non-refundable deposit is required at the time of booking confirmation. Full payment is due 90 days prior to your expedition start date. For bookings made within 90 days of the start date, full payment is required immediately.
We accept major credit cards (Visa, Mastercard, American Express) and bank transfers. All invoices and payment receipts will be provided electronically. Please note that prices are quoted in Canadian Dollars (CAD) and do not include applicable taxes or permit fees unless explicitly stated.
Group Bookings & Custom Expeditions:
- Special deposit and payment schedules may apply for groups of 8+ participants or for highly customized logistical support services. These will be clearly outlined in your personalized expedition agreement.
- Pricing for custom expeditions is guaranteed for 30 days from the date of the proposal. Any significant changes to the itinerary or participant numbers may necessitate a revised quote.

Cancellation, Modification, and Refund Policies

We understand that plans can change. Our cancellation policy is as follows:
- 120+ days prior to start date: Full refund minus the non-refundable 30% deposit.
- 90-119 days prior to start date: 50% refund of total expedition cost.
- Less than 90 days prior to start date: No refund.
Modifications to confirmed bookings (e.g., date changes, participant reduction) are subject to availability and may incur an administrative fee of $150 CAD per change. Requests for modifications must be submitted in writing.
Weather & Emergency Considerations:
Yukon Desert Expeditions reserves the right to modify or cancel an expedition due to unforeseen circumstances, including but not limited to extreme weather, natural disasters, or political instability (force majeure). In such cases, we will offer alternative dates or a credit for a future expedition. Refunds are not typically provided for force majeure cancellations, as significant logistical preparations have already been committed. Your safety is our paramount concern, and these decisions are made with careful consideration of local conditions and expert advice.

Participant Requirements and Responsibilities

Participants in Yukon Desert Expeditions must be in good physical health and possess the stamina appropriate for the chosen activity. Some expeditions may require specific fitness levels, which will be detailed in your expedition brief. A medical questionnaire may be required prior to departure.
Equipment: We provide specialized expedition equipment as noted in your itinerary (e.g., tents, cooking gear, safety equipment). A detailed packing list for personal items (clothing, toiletries, specific footwear, etc.) will be supplied. Participants are responsible for ensuring they bring all required personal gear.
On-Expedition Expectations:
- Participants must follow all instructions from Yukon Desert Expeditions guides and staff, especially concerning safety protocols and local environmental guidelines.
- Respect for fellow participants, wildlife, and the delicate Yukon environment is paramount. Any disruptive or unsafe behavior may result in removal from the expedition without refund.
- It is the participant's responsibility to ensure they have all necessary travel documents, permits, and visas for entry into Canada and any specific regions within the Yukon, if applicable.

Safety Protocols, Liability, and Insurance Coverage

Yukon Desert Expeditions prioritizes your safety above all else. Our guides are highly trained in wilderness first aid, navigation, and emergency response. We maintain the highest standards for equipment maintenance and operational procedures specific to the challenging Yukon terrain.
Participants are required to sign a Release of Liability and Assumption of Risk Agreement prior to departure, acknowledging the inherent risks associated with adventure travel in remote wilderness environments. While every precaution is taken, accident, injury, or loss is always a possibility.
Insurance Requirements:
It is mandatory for all participants to have valid travel insurance that covers medical emergencies, evacuation, and trip interruption/cancellation. We highly recommend a policy that specifically covers adventure activities and remote wilderness rescue. Evidence of comprehensive insurance coverage must be provided upon request prior to your expedition start date. Yukon Desert Expeditions Inc. is not responsible for any costs incurred due to inadequate or absent insurance coverage.
Our emergency response procedures are meticulously planned and regularly reviewed, integrating with local search and rescue services when necessary. Your cooperation in following all safety briefings and instructions is crucial for the safety of yourself and the entire group.
